VIASERVA originally came in as ArcIntelligence with early branding, no established public presence, limited capital, and no connected operational system. CICADA Accelerate transformed the company end to end.
VIASERVA had been deliberately putting off their public-facing presence while focusing their limited capital on getting the core technology functional and secure. They eventually realised they needed to start putting the company in front of potential customers before release.
They searched for roughly three days. Traditional agencies were quoting more than €2,000. The cheaper alternatives were offering AI-generated websites VIASERVA felt it could produce itself.
They were close to delaying the website until launch. Then CICADA was recommended through industry contacts. After submitting an enquiry through Accelerate, a representative responded within approximately four hours. The project was scoped under the Automate package.
Instead of forcing the standard package structure onto them, CICADA asked its engineers where more value could be created and replaced that part of the scope with custom workflows and data-management systems tailored to VIASERVA.

The site had to make a technically unusual, privacy-sensitive product understandable to retailers. It needed to explain how existing CCTV infrastructure integrates with machine learning for product tracking, how encryption and human review protect privacy, and what deployment requirements apply, without overclaiming or confusing the visitor.

A conventional FAQ was too rigid. A generic chatbot introduced too much uncertainty for a CCTV and privacy-sensitive product. FLASH was built as a site-specific answer layer — constrained to approved public VIASERVA knowledge.

David explained that FLASH wasn’t another general AI assistant. It was designed to be an expert on the VIASERVA site and nothing else. Daniel was sceptical at first, but with everything they had already been shown, he gave the go-ahead to pioneer it on VIASERVA.

This is not a generic analytics dashboard. It is a central data integration layer — bringing together structured information from across the business: enquiries, clients, CRM, sales and calendar activity, email actions, invoices and payments, operational events, future node telemetry, errors and pipeline issues.
VIASERVA has three dedicated sales representatives. Without a commission-based structure, workload could become uneven — one rep might have several calls while another had little. Staff previously had to manually move clients between representatives.
Each rep now controls their available hours. The new system distributes meetings according to availability, and calendars update automatically.
“We only have three dedicated sales representatives, and we would often end up with one rep having several calls in a day while the others had very little. Because we do not use a commission-based system at VIASERVA, it just meant the team were constantly moving clients between each other to keep things balanced.
When CICADA showed me the new sales system, it immediately solved that bottleneck. For the first time, all three representatives could effectively stay on the same page without having to coordinate every appointment manually.

In previous startups, Daniel had seen important emails get missed — sometimes with real consequences, like an AWS server bill slipping through the cracks. The human-in-the-loop design removed that concern: VIASERVA gets the benefit of automation without giving up control over what actually gets sent.

VIASERVA's previous invoicing setup through Stripe cost around 0.5% per transaction for the invoicing service. With recurring billing, that additional cost became noticeable as it accumulated.
CICADA automated the invoicing workflow and integrated it with the CRM. Payments are now matched to the correct client automatically, relevant billing data and VAT feed into invoice generation, and invoices are sent without manual piecing-together.

The CRM exists as a dedicated layer inside the central dashboard. Full client records remain one layer away — the main dashboard surfaces only things requiring action. When an enquiry converts, the transition to active client happens automatically.

The early system foundations were built with future physical deployments in mind. Node status, pipeline state, and operational errors are designed to flow through the same central dashboard.
“What impressed me most was that CICADA did not need access to our live data to build it. They created the system around our requirements, and all we had to do was connect our own data pipelines. From there, the rest of the data handling and representation happened automatically.”

VIASERVA supplied its provisional Terms of Service and Privacy Policy. CICADA already understood the intended product operation, and identified legal and compliance risk areas that had not been fully considered.

“CICADA already had a detailed understanding of how we wanted the VIASERVA service to operate, as well as our provisional Terms and Privacy Policy. They were able to identify legal and compliance risks that we had not fully considered.
One of the most important things CICADA helped us clarify was our role around customer CCTV. We had initially assumed VIASERVA would need to act as the data controller for that footage. The final structure made it clear that the retailer operating the CCTV would generally remain the controller, while VIASERVA would process that footage on the retailer's behalf.
That distinction significantly changed how we could structure the service, the responsibilities around it, and the documentation supporting it.”
